Privacy Policy

This Privacy Policy explains how AIThink ("we", "us", "our") collects, uses, stores, and protects personal data through the Smart Queue application, comprising a Patient App (AIThink Queue) and a Hospital/Clinic App (AIThink Staff). This policy applies to patients, clinic staff, clinic administrators, and doctors who use the Service.

1. Who We Are

AIThink provides digital patient-queue management software to clinics, hospitals, and individual medical practitioners ("Clinics"). Clinics that use Smart Queue are the primary point of contact for patients and are responsible for the accuracy of information they or their staff enter into the Service.

2. What Personal Data We Collect

We collect the minimum data needed to operate a digital token queue:

• Patient identity — name and mobile number, collected when a patient or clinic staff creates a token.
• Visit/token data — token number, doctor visited, date, and status. This record never contains the patient's name or mobile number.
• Clinic and doctor information — clinic name, address, phone number, doctor name, specialty, and timings.
• Approximate location (optional) — only if you use "Near me" search in the Patient App to find doctors close to you, and only after you grant permission. We request coarse (approximate) location, not precise GPS. It is used in the moment to sort nearby doctors by distance, and is not saved to our servers or linked to your visit or token records.
• Staff account data — staff name, role, phone number, and login email.

By design, a patient's name and mobile number are stored separately from the public token/queue record, so a token showing live queue position never exposes a patient's identity to other patients.

3. What We Do NOT Collect

• Medical history, diagnoses, prescriptions, or any clinical/treatment data
• Advertising trackers or third-party analytics cookies — we do not sell data to advertisers
• Payment card details through the Service at this stage
• Continuous or background location tracking — we never track your movement over time, and location is only ever requested in the moment you tap "Near me," never automatically

4. How We Use Personal Data

We use the data described above only to:

• Generate and manage patient queue tokens
• Send turn and appointment notifications
• Enable clinic staff to manage their queue and appointments
• Let clinic administrators generate visit and activity reports
• Provide, maintain, secure, and improve the Service

We do not use personal data for marketing or for building behavioural profiles.

5. Data Sharing & Disclosure

• Patient data collected for a Clinic is visible only to that Clinic's own authenticated staff and administrators — never to other clinics, other patients, or the public
• AIThink staff may access data only as needed to provide technical support or fulfil a Clinic's request
• We do not sell, rent, or share personal data with third parties for marketing purposes
• We may disclose data if required by law, court order, or a valid request from a government authority

6. Data Storage & Security

• All data is stored on Google Firebase (Firestore), a cloud infrastructure provider with industry-standard security certifications
• Access to patient names and mobile numbers is restricted to authenticated, active staff of the relevant clinic only, enforced at the database level
• Staff and administrator accounts require a password-protected login
• Data in transit is encrypted (HTTPS/TLS)

7. Data Retention

Token and queue records are retained to allow clinics to generate historical visit reports.

8. Patient Rights

Subject to applicable law, patients may request access to, correction of, or deletion of their personal data held by a Clinic, and may withdraw consent for future data collection. Requests should be directed to the Clinic first, as the Clinic is the primary holder of the patient relationship.

9. Children's Data

The Service may be used by a parent or guardian to book a token on behalf of a minor patient. The Service does not knowingly collect data directly from minors without adult involvement.

10. Cookies & Tracking

The Service uses only the technical storage necessary for it to function. It does not use third-party advertising cookies or cross-site tracking.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be notified to Clinics and, where practical, to patients via the app.
